Shipping Policy
How consignments are prepared, shipped, documented and delivered, and what each party is responsible for at every stage.
This policy explains how iVerified Data PrivateStorage Solutions Holdings Ltd. prepares, ships and delivers enterprise infrastructure and technology hardware to clients, and what each party is responsible for at every stage of the journey. It applies to all shipments arranged under a quotation issued by us and accepted by the client.
1. Scope
Every engagement we handle is quoted individually. Consignments differ in size, weight, value, handling requirement and destination, so the specific delivery terms for an order are always the ones written into the accepted quotation. This policy describes the standard practice that applies where the quotation does not say otherwise.
Where anything in this policy conflicts with the accepted quotation or a signed supply agreement, the quotation or agreement takes precedence.
2. Delivery terms
Delivery terms are stated on the quotation using Incoterms 2020. The term selected determines the point at which cost, risk and responsibility for the consignment pass from us to the client. Commonly used terms include:
- EXW and FCA, where the client arranges and pays for the main carriage.
- CPT and CIP, where we arrange carriage to the named destination.
- DAP and DDP, where we arrange delivery to the client site, with import duties and taxes handled by the client under DAP and by us under DDP.
If no Incoterm is stated on the quotation, the order is treated as EXW from the despatch location named in the quotation.
3. Lead times
Lead times are quoted per line item and are estimates based on supplier availability at the time the quotation is issued. They begin from the later of the date the order is confirmed in writing and the date any agreed advance payment is received in cleared funds.
Lead times for enterprise infrastructure are affected by manufacturing allocation, configuration complexity, freight capacity and customs processing. Where a confirmed lead time changes materially after an order is placed, we notify the client with a revised estimate and the reason for the change.
4. Export and import documentation
Each international consignment is despatched with the commercial documentation the route requires. This normally includes a commercial invoice, a packing list, and where applicable a certificate of origin, harmonised tariff classification for each line item, and any export declaration required by the country of despatch.
The client is responsible for supplying accurate consignee details, the correct import entity, tax registration numbers and any import licence or end-user documentation required at the destination. Incorrect or incomplete consignee information is the most common cause of customs delay and any resulting cost is borne by the client.
5. Packaging and handling
Consignments are packed for the transport mode and route selected. Rack-mount systems, accelerator boards, drives and other sensitive components are packed with anti-static protection and appropriate cushioning. Palletised freight is strapped and wrapped, and consignments are labelled with handling instructions where the contents require them.
Where a client has specific packaging, labelling or palletisation requirements, these should be stated at the quotation stage so that they can be priced and applied.
6. Freight and routing
Air or sea freight is selected according to the timeline, dimensions, weight and value of the consignment, and confirmed in the quotation. Consignments may be split across multiple shipments where lead times differ across line items. Where a partial shipment is proposed, we confirm this with the client before despatch.
Tracking references are provided once a consignment has been collected by the carrier.
7. Customs, duties and taxes
Unless the quotation states DDP, all import duties, taxes, customs clearance charges, port fees, demurrage and storage charges at the destination are the responsibility of the client and are not included in the quoted price.
Where a consignment is held by customs for inspection or for documentation the importer must provide, we assist with the paperwork within our control, but transit time lost to that hold is outside our control and does not alter the agreed commercial terms.
8. Delivery, inspection and acceptance
The client or their nominated agent should inspect each consignment on arrival before signing for it. Any visible damage to the outer packaging, any discrepancy in carton or pallet count, and any missing item should be recorded on the carrier delivery note at the point of signature.
Signing for a consignment without noting visible damage or a shortfall can limit what can subsequently be recovered from the carrier or the insurer, so this step matters.
9. Damaged, short or incorrect shipments
Shortages, transit damage and incorrect items should be reported to us in writing within five business days of delivery, with the order reference, photographs of the packaging and the goods as received, and the annotated delivery note where one exists.
We investigate each report, raise the claim with the carrier or supplier where applicable, and confirm the resolution in writing. Replacement, repair, credit or refund is handled under our Return Policy and our Refund Policy.
10. Delays outside our control
We are not liable for delay or non-performance caused by events outside our reasonable control. These include supplier allocation changes, manufacturing delay, carrier capacity and schedule changes, customs inspection, port congestion, industrial action, severe weather, and changes to export or import regulation.
Where such an event occurs we notify the client, set out the effect on the delivery estimate, and where possible propose an alternative route or schedule.
11. Export control and restricted destinations
Certain categories of computing and infrastructure hardware are subject to export control. Orders are accepted subject to our ability to satisfy the export control requirements applicable to the goods, the destination and the end user.
The client agrees that goods supplied will not be re-exported, transferred or diverted in breach of applicable export control or sanctions regulation. We may request end-use or end-user information before despatch, and we may decline or cancel an order where those requirements cannot be met.
12. Contact
Questions about delivery arrangements for a specific order should be sent with the order reference through the contact details published on our Contact page.
