Privacy Policy

What personal information we collect, why we use it, who it is shared with, how long we keep it and what rights you have.

iVerified Data PrivateStorage Solutions Holdings Ltd. respects the confidentiality of the information our clients share with us. This policy explains what personal information we collect through this website and in the course of an engagement, why we collect it, who it is shared with, how long we keep it, and what rights you have over it.

1. Who we are

iVerified Data PrivateStorage Solutions Holdings Ltd. is a company registered in Alberta, Canada under Company No. 1673457-0, with its registered office at 534 17 Ave SW, Unit 534, Calgary, Alberta, Canada T2S 0B1. For the purposes of Canadian privacy law we are the organisation responsible for the personal information described in this policy. Where the General Data Protection Regulation applies, we act as the data controller for that information.

2. Scope

This policy covers information collected through this website, through enquiry and quotation correspondence, and in the course of supplying goods and services. It does not cover third-party websites we link to, which have their own policies.

Almost everyone we deal with contacts us in a professional capacity, so the information we hold is overwhelmingly business contact information rather than information about private life.

3. What we collect

Through the contact, quotation and bill of materials forms on this site we collect the information you enter, which may include:

  • Your name and the company you represent.
  • Business email address and telephone number.
  • Country and delivery destination.
  • The requirement you describe, including equipment categories, manufacturer and model references, quantities, timeline and budget range.
  • Any specification document, bill of materials or drawing you choose to attach.
  • How you heard about us, where you tell us.
  • Your consent to us storing and using the above in order to respond.

In the course of an engagement we also hold order, delivery, invoicing and correspondence records, and the contact details of the people at your organisation involved in the engagement.

Our web server keeps standard technical logs, which include IP address, browser type, the pages requested and the time of the request. These are generated automatically by the hosting infrastructure and are used for security and troubleshooting.

4. Information we ask you not to send

Please do not send us more personal information than an enquiry requires. In particular, do not include credentials, access details, security-sensitive network documentation, or any special category personal data in a specification document or an enquiry message.

5. Why we use it, and on what basis

  • To respond to your enquiry and prepare a quotation. This is done at your request and is necessary to take steps prior to entering a contract.
  • To fulfil an order. Sourcing, configuration, export documentation, freight and delivery all require the relevant contact and consignee details, and this use is necessary to perform the contract.
  • To meet legal obligations. Tax, accounting, customs and export control record keeping.
  • For our legitimate interests. Maintaining business records, securing our systems, preventing fraud and misuse of our enquiry forms, and defending legal claims.
  • With your consent. Where you have ticked the consent box on one of our forms, and for any optional communication you have specifically asked to receive.

We do not sell personal information, and we do not use it for automated decision making or profiling.

6. Who we share it with

We share personal information only where it is needed to do the work, and only to the extent needed:

  • Suppliers, distributors and manufacturers, where a quotation or an order requires them to know the end destination, the configuration or the end user.
  • Freight forwarders, carriers and customs brokers, who need consignee details to move and clear a consignment.
  • Our professional advisers, including accountants, auditors and legal advisers.
  • Service providers who operate our website, hosting and email systems, under contract and only on our instructions.
  • Government authorities where we are legally required to disclose information, including under customs and export control regulation.

We do not disclose client information to any other party for that party own marketing purposes.

7. International transfers

Our business is international by nature. Where an order involves suppliers, carriers or a delivery destination outside Canada, the information required to complete that order will be transferred to those parties in the countries concerned.

Where information relating to individuals in the European Economic Area or the United Kingdom is transferred outside those areas, we rely on the transfer mechanisms permitted under the applicable regulation, including standard contractual clauses where required.

8. How long we keep it

Enquiries that do not lead to an order are kept for up to twenty four months, so that we can pick up a conversation that resumes later, and are then deleted.

Records relating to orders, invoices, customs and export documentation are kept for the period required by Canadian tax, accounting and export control regulation, and for the period during which a legal claim could reasonably be brought.

Server logs are retained for a short operational period and then overwritten.

9. How we protect it

This website is served over an encrypted connection. Access to enquiry correspondence, order records and client documentation is restricted to the people who need it to do their work. Our enquiry forms carry spam protection, and uploaded files are restricted by type and size.

No system can be guaranteed absolutely secure, but we take the confidentiality of client information seriously and handle it accordingly.

10. Your rights

Depending on where you are located, you may have the right to:

  • Ask what personal information we hold about you and receive a copy of it.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete information we no longer have a lawful reason to keep.
  • Ask us to restrict or object to a particular use of your information.
  • Withdraw a consent you previously gave, without affecting anything done before you withdrew it.
  • Ask to receive certain information in a portable format, where that right applies.

We respond to requests within the time limit set by the applicable regulation, and normally sooner. We may need to verify your identity before we act on a request. There is no charge for a reasonable request.

11. Cookies

This website does not use advertising cookies, and does not run third-party analytics or tracking. The only cookies set are those needed for the site to function, and those set by WordPress for a signed-in administrator of the site.

If we introduce analytics in future, this policy will be updated and consent will be sought where the applicable regulation requires it.

12. Children

This website and our services are directed at organisations and business users. We do not knowingly collect personal information from children.

13. Changes to this policy

We may update this policy from time to time. The version published on this page is the version in force, and the date at the foot of this page indicates when it was last revised. Material changes will be highlighted on this page.

14. Contact and complaints

To exercise any of the rights above, or to ask a question about this policy, write to us using the contact details published on our Contact page, or by post to the registered office below. Please mark your message for the attention of the privacy contact.

If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada, or, where the relevant regulation applies to you, to the supervisory authority in your own country.
